Currently, most vessels use chart correction software (such as ChartCO, Digitrace), and we have noticed an increase in issues related to the transmission of update data for these programs.
These software programs send update data as email attachments. While the data is appropriately divided to not exceed a certain size, when there is a large amount of update data, emails of 10-20MB or more can be sent at once.
Even if the size of each divided email is smaller than the “single email size limit” of the vessel, the total volume of emails can exceed the “mailbox size limit,” causing emails that exceed this limit to not be received.
Since the beginning of this year, updates of 20MB or more have become frequent, leading to missing update data on various vessels.
Moreover, even if the mailbox size limit is sufficiently increased to address this issue, a new problem arises where business emails cannot be received until the update data reception is complete. Even on FBB500, it takes 3-5 minutes to receive 1MB of data, meaning it can take over an hour to receive a 20MB email. As a result, important communications from charterers and management companies may not be immediately received while the vessel is receiving update data.
To resolve this issue, we recommend creating a separate email account with a large mailbox size specifically for receiving ChartCO or Digitrace updates.
This approach prevents missing updates and business email disruptions. In emergencies, pause the update email and rely on the business email. Schedule updates to be received at night when business communication is lower.
However, email systems such as AMOS, SKYFILE, and UMI Mail perform simultaneous sending and receiving for all sub-accounts in a single connection. Therefore, vessels using these email systems may still face issues with business email communication being obstructed by large update data transmissions.
